Event Planning

At Charima Events, together with our clients, we take plenty of creativity to design an event that is classic, memorable and meaningful. Taking careful attentions to detail, adaptability, effective team delegating for a classic and greater plan execution. For an event critical stages executions to happen as planned for a great event outcome, we disperse our proactive and responsive teams to the site at your service. We have several basic phases that our process of planning an event undergo, right from the beginning to end. These five basic phases include; concept/idea, coordination/management, control, culmination/peak and closeout/ending.

Event Idea / Concept: In conceptualizing an event, we like to determine the WHY, the WHO, the WHEN, the WHERE and the WHAT of the event. These mind-boggling questions helps us to know and understand the theme of the event in conjunction with our discussions and agreements with our clients’ views. The WHY informs about a cause. e.g.  is the event meant for a corporate ceremony, formal/informal party, concerts, conventions, conferences, weddings and festivals. Whatever the event is meant to achieve is be clearly stated from the onset for easier and better plan of things.
The WHO dictates the type of event to conduct and helps with the necessary information to bring together the creative elements of the event. The WHEN, the WHERE, and the WHAT of the event requirements is to help match the needs, wants, desires and expectations of the client and audience.

Event Coordination: The event coordination activities include developing a theme, establishing timelines, selecting, reserving event venues, planning the food, selecting speakers, arranging for equipment and facilities, coordinating transportation, contingency planning, budgeting etc. It is taking note of and giving attention to every detail that makes up the event.

Event Control: We put control measures in place to compare event progress to the actual plan, adjusts what needs to be done to ensure that event is delivered within time and budget. Event control also deals with conflict resolutions as well as supplier and vendor relationship management.

Event Culmination: This is the peak or height of every event, where the result of all the previous planning is seen. Event culmination happenings include team management, supplier/vendor coordination, frontline and backend management, security, crowd control and communication.

Event Closeout: After events are completed, we do post event activities that are equally necessary to highlight the event process for learning and for future improvements. These include review and evaluation, reporting, and quality improvement.
